ESSENTIAL DUTIES AND RESPONSIBILITIES (include, but are not limited to, the following; other duties may be assigned):

  • Assists specific divisions with key back office processes (e.g., order processing, customer service, accounts receivable, etc.) via centralized and standardized high volume transaction processing at BSG.

  • Work in conjunction with Divisional back office resources who will be performing similar functions on a limited basis.

  • Customer Service- Resolve internal and external customer issues by returning/acknowledging phone calls and emails in a timely manner and providing responses and resolution in a reasonable amount of time.

  • Setup and maintenance of all Customer master data in the Sapphire application.

  • Accounts Receivable- Involvement in the accounts receivable process.

  • Enter and process payments from customers and address any payment related issues with the Sales Force and Customers directly.

  • General customer collections utilizing the established delinquency, aging and dunning guidelines.

  • Process and communicate “Lost Discounts”.

  • Maintain effective and consistent communication with the sales force.

  • Answering general Sales force questions and resolving issues.

  • Providing invoice copies and other document/information requests as needed.

  • Order Management- This includes, but is not limited to, the following:

  • Process incoming orders from customers.

  • Assist sales force with issues relating to order submission (e.g. Topaz issues).

  • Answer general order inquiries, providing 1 st level support and minimizing call transfers.

  • Process pickups and returns according to the established pickup and return policy.

  • General Credit Management- This includes, but is not limited to, the following:

  • Process credits on product returned to the warehouse by Drivers or through pickup slips

  • Separate saleable and non-saleable credits for submission to Accounting for processing.

  • Process discount debits\credits when approved by Pricing.

  • Verify all debits\credits processed the prior day.

  • Work seamlessly with divisional personnel who will be performing many of the same functions.

  • Keep up to date on State specific alcoholic beverage laws.

  • Cross-train with other team members to serve as a backup when needed.

  • Other duties and\or projects as assigned.



  • High School Diploma or GED equivalent.

  • At least two years of experience working in a general office environment. Back-office Accounting experience a plus.

  • Excellent communication skills both verbal and written, shifting communication styles depending upon the audience. Bilingual (English\Spanish) helpful.

  • Must be able to work under pressure while maintaining a courteous attitude at all times.

  • Must understand and utilize sound customer service skills to exceed internal and external customer expectations.

  • Must have the ability to analyze, research, and explain complex transactions involving multiple steps.

  • Proven ability to recognize necessary process improvements and take the necessary pro-active steps to initiate change.

  • Critical nature of this job may require extended hours, overtime and weekends. Particularly during busy season and physical inventories.

  • Proficiency in PC skills, particularly spreadsheet applications

  • Team player, energetic, self starter, motivator

  • Ten-Key by touch proficiency required.

  • Beverage distribution industry knowledge helpful. Knowledge of warehouse rules and regulations and safety procedures.
